Save Time! Email receipts directly to QuickBooks Online

Y’all know how much I love QuickBooks Online! I’m a big believer in letting the technology do the work for you and there are so many cool features in QBO that will save you time as well as give you more clarity of your finances.

One of my favorite features is the ability to email receipts directly to your QuickBooks Online account and then create or attach the receipt to a transaction. With this feature, a PDF is created which stays with that transaction forever. This is super powerful and allows you to:

  • Avoid saving, dragging and dropping receipts to backup your transactions,

  • "Drill down" on any transaction and open the PDF to see the detail

 

This is invaluable not only for your own clarity, but also for supporting your taxes and other forms such as expense reports or billing reimbursable items back to clients. Just last week I helped a real estate agent use this process to track expenses that are reimbursable from escrow once their deal closes. No more trying to remember what they spent, or searching through hundreds of emails for receipts and email confirmations or trying to figure out which deal or client it was for. They simply have to forward the email confirmations to their private QuickBooks Online receipt capture email (that they created) to know the data is captured and ready to be linked to their finances in real time. Clarity game-changer. No money left on the table!
